Role Summary
You will be the face and voice of Dermis 365. Your main responsibilities are to:
- Welcome patients warmly
- Manage appointments & calls
- Explain services and packages
- Coordinate with doctors and therapists
- Ensure every patient has a smooth, premium experience from enquiry to follow-up
This is a patient-facing + sales conversion role (not cold calling).
Key Responsibilities
1. Front Desk & Patient Handling
- Greet every patient/visitor politely and make them feel comfortable
- Manage patient check-in and check-out
- Maintain a neat, professional and calm reception area
- Ensure patients are guided to the right room/doctor/therapist on time
2. Appointments & Coordination
- Handle phone calls, WhatsApp and walk-in enquiries
- Schedule, reschedule and confirm appointments
- Coordinate with doctors, therapists, and nurses to avoid clashes/delays
- Maintain the daily appointment & procedure calendar
3. Enquiry Conversion & Basic Counselling
- Explain clinic services, packages, offers and payment options clearly
- Convert leads to consultations, and consultations to procedures/packages
- Handle basic objections/queries (price, number of sessions, duration, etc.)
- Promote ongoing offers, memberships and treatment packages
4. Billing & Records
- Generate bills, collect payments (cash, UPI, card, online)
- Issue invoices and receipts properly
- Maintain accurate records of patient visits, bills and payments
- Ensure EMR/clinic software is updated with correct patient details
5. Follow-ups & Patient Relationship
- Call/WhatsApp patients for:
- Appointment reminders
- Post-procedure follow-ups
- Package continuity and renewals
- Maintain a relationship with regular patients and ensure they feel valued
- Collect feedback and share with the Clinic Manager for improvements
6. Coordination & Reporting
- Prepare simple daily MIS:
- Number of enquiries, consultations, procedures, conversions
- Collections summary
- Support the Clinic Manager in day-to-day operations
- Coordinate with the marketing team on leads and campaigns when needed
Eligibility & Requirements
- Education: PUC / Any Graduate (Hospitality, Commerce, Life Sciences preferred but not mandatory)
- Experience:
- 13 years in front office / customer care / sales in any of the following:
- Skin / hair / dental / aesthetic clinic OR
- Salon/spa/wellness center OR
- Hospitality (hotel, airline, premium retail)
- Freshers with excellent communication & attitude may also be considered
- Language:
- Good spoken English is mandatory
- Kannada is strongly preferred
- Hindi/Tamil/Telugu is an added advantage
Skills & Personality
- Very good communication and telephone etiquette
- Pleasant, well-groomed and professional appearance
- Comfortable using WhatsApp, basic computer tools and clinic/CRM software
- Sales-oriented, but with an ethical, patient-first mindset
- Ability to stay calm under pressure during peak hours
- Punctual, reliable, and highly organised
Work Schedule
- 6-day working (one weekly off on a weekday)
- Flexible to work in shift timings (morning/evening) as per clinic hours and patient flow
- Willingness to work on weekends and special campaign days (with compensatory off as per policy)
