Responsibilities of a Front Office Executive / Receptionist
1. Visitor Management
o Welcoming and guiding visitors and clients
o Managing visitor records and directing guests appropriately
2. Call Handling
o Answering incoming calls professionally
o Taking messages and responding to basic inquiries
3. Reception Area Management
o Ensuring the front desk and lobby area are clean and well-organized
o Managing display materials and brochures
4. Meeting and Conference Coordination
o Preparing and arranging meeting rooms before and after meetings
o Coordinating refreshments and technical requirements when necessary
5. Administrative Support
o Supporting general administrative tasks and documentation
6. Internal Communication
o Relaying messages between departments
o Distributing internal notices and announcements
7. Access and Security Coordination
o Coordinating with security for guest and visitor access
8. Hospitality Management
o Offering refreshments to visitors and clients
o Coordinating pantry services for meetings and events
9. Attendance Maintenance o Recording employee attendance (manual and digital)
o Submitting attendance reports to HR or concerned departments
Required Skills & Qualifications:
o Bachelor's degree / Diploma in any field.
o 13 years of experience in front office, receptionist, or customer service roles.
o Excellent verbal and written communication skills.
o Proficiency in MS Office (Word, Excel, Outlook).
o Pleasant personality, professional grooming, and strong interpersonal skills.
o Ability to multitask and manage time efficiently.
