Facilities & Operations Specialist || Altera Institute - Digiaccel Learning

As a Facilities Management Specialist, you will play a critical role in creating and maintaining a world-class workplace environment that enables employees, learners, faculty, leadership and visitors to perform at their best.
This role goes far beyond office administration - you will own the end-to-end workplace experience by ensuring operational excellence, premium hospitality standards, seamless facility management and exceptional service delivery across our campuses.
You will work closely with internal stakeholders, building management teams and external service partners to deliver a safe, efficient and engaging workplace that reflects the quality and professionalism of Digiaccel Learning and Altera Institute. The ideal candidate is highly organized, service-oriented, proactive, and passionate about creating outstanding workplace experiences.
Key Responsibilities
Workplace Experience & Hospitality Excellence
• Create and maintain a premium workplace experience for employees, learners, faculty members, leadership and visitors across all office and learning spaces.
• Ensure classrooms, meeting rooms, common areas, reception spaces and collaborative workspaces are maintained to the highest operational and hospitality standards.
• Continuously identify opportunities to improve workplace services, employee experience and operational efficiency.
• Act as the first point of contact for workplace-related queries while ensuring timely resolution and exceptional service standards.
Facilities & Vendor Management
• Own end-to-end facility operations including building coordination, maintenance, repairs, housekeeping, security, utilities and workplace services.
• Oversee Annual Maintenance Contracts (AMCs), facility contracts, preventive maintenance schedules and infrastructure upgrades.
• Ensure timely resolution of facility-related issues while minimizing operational disruptions.
Office Administration & Workplace Operations
• Ensure seamless day-to-day office operations across all workplace functions.
• Manage procurement of office supplies, housekeeping materials, pantry inventory and operational consumables.
• Maintain operational MIS reports, dashboards and trackers for facility expenses, vendor performance and workplace activities.
Inventory & Asset Management
• Manage end-to-end inventory for learner kits, IT assets, office equipment, housekeeping materials and operational supplies.
• Maintain accurate inventory records and support cost optimization initiatives.
• Conduct regular inventory audits and ensure accurate asset tracking, stock availability and timely replenishment.
• Coordinate asset allocation, maintenance, repair and replacement activities in collaboration with relevant internal teams.
Employee Experience & Stakeholder Management
• Build strong relationships with employees, faculty, learners and cross-functional teams to ensure smooth workplace operations.
• Coordinate effectively with HR, IT, Finance, Academic Operations and Administration teams to support organizational requirements.
• Deliver responsive and solution-oriented support while maintaining high service standards across all stakeholder interactions.
Events, Meetings & Travel Coordination
• Coordinate venue readiness, logistics, hospitality arrangements, refreshments and operational support for all events.
• Manage travel bookings, accommodation arrangements and expense coordination for leadership and business requirements.
• Ensure seamless execution of internal and external events while maintaining premium service standards.
What We're Looking For
• 2-5 years of experience in Facilities Management, Workplace Experience, Hospitality Operations, Corporate Administration, Office Operations or Corporate Services.
• Hotel Management or Hospitality graduates (BHM/B.Sc. Hospitality/Hotel Management) will be strongly preferred.
• Experience in managing facility operations, vendor management, workplace administration, housekeeping, travel coordination and office infrastructure.
• Strong understanding of hospitality standards with the ability to create exceptional workplace experiences.
• Excellent stakeholder management skills with the ability to work effectively with leadership, employees, learners, faculty and external partners.
• Experience managing vendors, AMCs, facility contracts and service-level agreements.
• Strong planning, coordination and execution capabilities with exceptional attention to detail.
• Proficiency in Microsoft Office Suite, particularly Excel, for reporting, MIS and operational dashboards.
• Ability to prioritize multiple responsibilities and thrive in a fast-paced, high-growth environment.
• High standards of professionalism, integrity and confidentiality and passion for operational excellence, customer service and creating memorable workplace experiences
