Epirco Group is seeking a highly capable, exceptionally organized professional to serve as the Executive Assistant & HR Operations Manager, a dual-role position that directly supports our CEO while overseeing key HR and operational functions across the organization.

This is not a typical EA role and not a traditional HR role.

It is a high-trust, high-impact, execution-heavy position for someone who can think strategically, act independently, and run operations with precision.

You will be the CEO's right handmanaging priorities, coordinating across teams, strengthening internal processeswhile also owning HR operations, performance tracking, and people management systems.

This role is ideal for someone who enjoys wearing multiple hats, thrives in fast-paced environments, and is ready to play a core role in scaling a global organization.

Responsibilities

  • Manage the CEO's daily schedule, appointments, calls, and travel across multiple time zones.
  • Prioritize and triage incoming communication; draft responses on behalf of the CEO.
  • Prepare reports, decks, briefing notes, and confidential documents.
  • Track and follow up on key deliverables, deadlines, and strategic initiatives.
  • Serve as the executive liaison for internal teams, clients, and external partners.
  • Coordinate special projects and handle operational firefighting as required.
  • Ensure the CEO's time is optimized and aligned with business goals.
  • Manage end-to-end recruitment: job postings, screening, scheduling, interviews, and onboarding.
  • Maintain and enforce HR policies tailored for a high-performance digital environment.
  • Track attendance, payroll inputs, leave management, and compliance with Indian labor laws.
  • Manage employee offboarding, documentation, and exit formalities.
  • Plan and execute employee engagement and culture-building activities.
  • Protect confidentiality and maintain accurate employee records.
  • Monitor team performance daily using ClickUp and other tools.
  • Prepare monthly employee performance reports, scoring productivity, quality, and behavior.
  • Identify performance gaps and coordinate with managers for improvement plans.
  • Assess workload distribution and support resource planning and hiring pipelines.
  • Flag potential risks (attrition, performance drops, behavioral concerns) early.
  • Review daily project progress, identify delays, and follow up with managers for updates.
  • Ensure client communication timelines are metespecially responding to emails within set SLAs.
  • Prepare and verify client-facing monthly timesheets with accurate hours logged.
  • Maintain workflow discipline, ensuring internal processes are followed.
  • Coordinate operational documentation and enforce high standards across teams.
  • Create monthly reports on team efficiency, HR metrics, and project performance.
  • Provide insights to leadership for improving output, morale, and operational smoothness.
  • Track HR analytics, recruitment funnel data, and workforce KPIs.
  • Maintain organized dashboards for the CEO's review.

Qualifications

  • Bachelor's degree in HR, Business Administration, Management, or related field.
  • 36 years of combined experience in Executive Assistance, HR Operations, or Agency/IT Operations.
  • Experience working in a Digital Agency, Creative Agency, SaaS, IT Services, or Consulting firm (mandatory).
  • Advanced skills in ClickUp, HubSpot, Google Workspace, and productivity tools.
  • Strong communication (written + verbal), organizational, and multitasking skills.
  • Ability to handle sensitive information with complete discretion.
  • Proactive, resourceful, and capable of operating independently.
  • Strong analytical ability with experience in reporting, dashboards, and data-driven decision-making.
  • Familiarity with AI tools, workflow automation, and modern collaboration systems is a plus.
  • Flexibility to be available on-call during non-standard hours (critical for this role).
