We are a small but growing beauty distribution firm seeking a versatile team member who can handle a variety of administrative and operational tasks. This hands-on role offers an exceptional opportunity to learn our distribution business from the inside while contributing directly to our daily operations.

Role Overview

As an Executive Assistant / Business Operations Executive, you'll play a crucial role in our compact team, handling essential administrative work while directly supporting our retail distribution operations. This role is perfect for someone who is practical, detail-oriented, and eager to grow with a small business where every contribution has significant impact.

Key Responsibilities
  • Coordinate with retail clients on orders, inquiries, and relationship management
  • Process purchase orders, sales orders, and track order fulfillment
  • Manage task assignments and follow-ups across the team
  • Handle basic accounting tasks including invoicing and payment tracking
  • Assist with inventory records and stock level monitoring
  • Support vendor relations and procurement processes
  • Prepare business documents, reports, and presentations as needed
  • Coordinate logistics and shipping arrangements with carriers
  • Assist with trade show and client meeting preparations
  • Handle general office management including supplies and equipment
  • Support marketing efforts including maintaining product information
Skills & Qualifications
  • Undergraduate required; further education beneficial but not required
  • Previous experience in retail, distribution, or small business environment helpful
  • Proficiency with MS Office and basic business software
  • Strong organizational abilities and exceptional attention to detail
  • Practical problem-solving mindset
  • Willingness to handle any task regardless of perceived status
  • Ability to work independently with minimal supervision
  • Excellent interpersonal skills for client and vendor interactions
