Role Summary

We are seeking a positive, proactive and collaborative individual to join our dynamic team. This role serves as a trusted partner ensuring the C-suite's priorities are effectively managed while maintaining the highest standard of professionalism, confidentiality and operational excellence.

The EA acts as the primary point of contact for internal and external stakeholders on matters relating to the C-suite. This role requires exceptional organizational skills, discretion and the ability to problem-solve and work independently in a fast-paced innovative environment.

Duties And Responsibilities

Provide comprehensive administrative support to C-suite including but not limited to, management of complex calendars, priorities, travel bookings, and expense claims submission.Coordinate meetings and communications among the executive leadership team.Screen and prioritise communications, ensuring urgent matters receive prompt attention.Manage and coordinate domestic and international travel, including logistics and itineraries for C-suite and teams.Respond promptly to urgent or last-minute travel changes, including those occurring outside normal office hours when required.Ensure efficient administration of executives travel booking workflows and approvals.Handle highly sensitive information with the highest level of professionalism and confidentiality.Ensure compliance with corporate governance standards and company policies.Exercise sound judgement and maintain professionalism in all matters involving the CEO and executive leadership team.Support office administration and other administrative duties assigned by Management, including but not limited to, ordering of office supplies, business name cards, invoice processing, visitor management and office maintenance.

QUALIFICATION

Diploma in Business Administration or a related discipline.Minimum 5 years of experience supporting a CEO or C-suite executives.Experience in a fast-paced diverse global environment or high growth organization is preferred.Strong attention to details, communication and interpersonal skills.Excellent organizational and time management skills to meet deadlines.Strong analytical and problem-solving skills.High level of professionalism, integrity, and confidentiality.Ability to work independently and manage multiple priorities and tight timelines across multiple time zones.Flexible to support urgent business requirements outside normal office hours including weekends when necessary.Experience handling invoice processing and expense management.Strong team-player attitude with the ability to build trust, support colleagues and contribute positively to the shared objectives.Flexible, approachable, and willing to assist whenever needed to ensure team success.Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook and Teams).
