Who we are
The Chief Administrative Office Portfolio Management Organization (CAO PMO) is responsible for the global governance and standards of all projects across its businesses and ensuring complete alignment of project portfolios with strategic priorities. In addition, the CAO PMO centralizes the review and prioritization of all demand - whether new project or modifications of existing work, financials (funding and expected return on investment) and provides oversight and transparency of all project activities, risks and dependencies. We currently manage a portfolio of over 170 projects that support Firmwide initiatives, business model redesigns, business process improvements, short-term pilots, relationship enhancements and technology deployments and migrations - out of which around 50% of them relate to the firm's legal entity mergers & acquisitions, new onboardings and liquidations.
The CAO PMO team is dedicated to ensuring full transparency, alignment, consistency in approach, cross-functional coordination and risk management across all portfolios and driving the portfolios to reach their intended goals on schedule, on budget and with the expected return on investment. The CAO PMO partners with the CAO businesses, Technology, Corporate Finance and FBMs, Lines of Business, Controllers, Corporate Communications, Controls, Legal, HR and other businesses as needed.
The CAO PMO includes dedicated full-time program managers responsible for full end-to-end management of a portfolio of complex, multi-functional, high risk projects. They partner with the business owners, technology, finance and product owners to ensure knowledge of the vision and strategic direction, map out an agreed upon design and plan, and then execute and deliver to plan and budget. The Program Manager for CAO Operations is responsible for day-to-day management of all project and portfolio information, standards and reports. All Program managers are supported by a team of project managers and project analysts that support project deliverables, development of standards and lead small projects.

What you'll be accountable for

  1. Support CAO PMO Program Managers with project and portfolio deliverables including:
  • Lead and/or participate in design sessions and requirements gathering sessions to capture business/ functional requirements, business rules and controls.
  • Interface with cross-functional stakeholders to outline and confirm that their project plan actions are followed-up and completed within the stipulated deadlines.
  • Translate business requirements to functional/ technical specifications, as needed.
  • Manage test management - including creating test strategy, test execution plan, test scripting, execution progress tracking, defect management (i.e. own getting the resolution of issues/defects arising during testing and post production support) and test execution summary reporting, track pre-implementation readiness, providing post deployment support, creation of project documents and own the archival for the assigned projects. Also, lead project working group/ UAT status meetings/ ad-hoc meetings, as required.
  • Document minutes of meetings follow-up on open actions to closure report on project status and own project plan updates.
  • Contribute and summarize lessons learned across the CAO portfolio.
  • Establish training and procedures that support project goal and stakeholder adoption.
  • Provide analytical and logical thinking to understand and analyze complex business processes, identifying risks and defining possible solutions.
  1. Lead small projects for CAO PMO - from concept through closure and guide/ support/ track actions of peers partnering with you on your projects.
  2. Work closely with Program Managers to analyze existing PMO systems & make recommendations for improvement, if asked to.
  3. Conduct and record business process mapping (current vs. target state) of processes, systems/ applications, controls and documents, conduct gap analysis and summarize findings to develop CAO-wide standards.
  4. Participate in strategy discussions to define future state operating models.

Who are we hiring
  • You are highly analytical, organized and detailed, yet able to extrapolate and summarize key information.
  • You have experience in leading or participating in projects independently and confidently and are able to handle small projects on your own within the established CAO PMO framework, manage business process mapping and reporting (current vs. target state).
  • You have (intermediate to advanced level) of experience in Ms Word, Ms Excel, Ms PowerPoint, SharePoint and project management. Experience in ALM, Visio and Jira preferred.
  • You are a team player and are able to roll your sleeves up when you need to, flexible in hours to meet the needs of the global team and stakeholders, and are able to lead, influence conversations with all parties.
  • You are able to quickly pick up subject matter expertise.
  • You are highly motivated, know when to escalate and communicate well.
