Compensation: ₹50,000–₹75,000 per month, depending on experience and demonstrated expertise + Incentives

CiteWorks Studio helps brands improve their visibility across traditional search engines and AI platforms through strategic content, digital authority-building and multichannel execution.

We are scaling our outbound sales infrastructure and are looking for an experienced B2B Cold Email Outreach & Deliverability Manager to take complete operational ownership of our cold-email system.

This is not a newsletter, retention marketing or e-commerce email role. The position is focused specifically on B2B cold outreach, email deliverability, campaign optimization and qualified pipeline generation.

Role Objective

You will be responsible for building, managing and scaling a multi-domain cold-email system consisting of more than 60 sending inboxes and multiple concurrent campaigns.

The immediate objective is to sustainably scale the system to approximately 3,500 campaign emails per week, including follow-ups, without compromising inbox health, sender reputation, targeting quality or reply quality.

You will work closely with the leadership, data and business-development teams to generate qualified conversations for CiteWorks Studio and its associated services.

Key Responsibilities:

Email Infrastructure and Deliverability

  • Audit the existing domains, inboxes, campaigns, warm-up settings and sending configuration.
  • Manage more than 60 email inboxes across multiple domains and campaigns.
  • Configure and monitor SPF, DKIM, DMARC, domain forwarding, tracking domains and other deliverability-related settings.
  • Establish appropriate warm-up, ramp-up, sending-limit and inbox-rotation protocols.
  • Identify mailboxes or domains experiencing deliverability problems and implement recovery, replacement or retirement plans.
  • Monitor sender reputation, bounce rates, spam-related signals, inbox placement and provider-level restrictions.
  • Maintain a documented inventory of all domains, mailboxes, campaign assignments and infrastructure status.

Campaign Management

  • Build, launch and manage cold-email campaigns using Instantly.
  • Structure campaign allocation so that inbox capacity is used efficiently without overloading individual mailboxes or domains.
  • Create multi-step email sequences with appropriate delays, follow-ups and stopping conditions.
  • Manage first-touch campaigns, follow-up sequences and long-term nurture campaigns for non-responsive prospects.
  • Ensure prospects are not contacted through overlapping campaigns or multiple inboxes simultaneously.
  • Maintain suppression lists for unsubscribes, negative replies, existing clients and unsuitable companies.
  • Coordinate campaign schedules across different target industries, services and audience segments.

Targeting and Lead Quality

  • Work with leadership to define and refine ideal customer profiles, targeting criteria and priority segments.
  • Review lead lists before campaigns are launched and identify problems with relevance, seniority, company fit or data quality.
  • Coordinate with the data team to maintain a consistent supply of verified and campaign-ready prospects.
  • Segment prospects based on company type, industry, role, use case, business need and likely buying intent.
  • Recommend which audiences, offers and messaging angles should be prioritized based on campaign data.
  • Maintain clear rules for retargeting companies and contacting alternative decision-makers.

Cold-Email Copy and Experimentation

  • Write and improve subject lines, opening lines, email bodies, calls to action and follow-up messages.
  • Create messaging variations for different industries, personas and services.
  • Conduct structured A/B tests across targeting, subject lines, offers, email length, calls to action and follow-up timing.
  • Evaluate messaging based on positive replies and qualified meetings—not merely open rates.
  • Work with leadership to ensure that campaign messaging accurately represents the company's positioning, services and capabilities.
  • Document winning messaging patterns and unsuccessful experiments.

Reporting and Optimization

  • Maintain daily and weekly reporting for:
  • Total campaign emails sent
  • New prospects contacted
  • Follow-up emails sent
  • Active, warming and unhealthy mailboxes
  • Delivery and bounce rates
  • Unique replies
  • Positive and negative replies
  • Qualified meetings generated
  • Campaign and audience-level performance
  • Diagnose underperforming campaigns and recommend specific corrective actions.
  • Maintain a testing log showing the hypothesis, change, result and next action for every major experiment.
  • Provide leadership with a clear weekly summary of performance, risks, bottlenecks and scaling recommendations.
  • Forecast the number of leads, mailboxes and campaigns required to meet future outreach targets.

Reply and Sales Handoff

  • Ensure that positive replies and qualified opportunities are routed promptly to the appropriate team member.
  • Establish clear reply-classification and handoff processes.
  • Coordinate with the team responsible for inbox monitoring, CRM updates, meeting scheduling and follow-up.
  • Help create response templates for common questions, objections and requests for additional information.
  • Ensure that no qualified reply is missed or left unanswered because of campaign volume.
  • Review reply quality to identify targeting or messaging improvements.

Process Development

  • Create and maintain SOPs for domain setup, inbox creation, warm-up, campaign launches, deliverability monitoring, reply handling and reporting.
  • Reduce dependence on individual team members by documenting the complete outbound-email operating system.
  • Train relevant team members on campaign monitoring, response handling and escalation procedures.
  • Recommend tools, integrations or automations that improve scalability, reporting or operational reliability.

Required Experience and Skills

  • At least five years of experience in B2B email marketing, outbound lead generation, appointment setting, sales operations or a related discipline.
  • At least two years of direct, hands-on ownership of cold-email campaigns.
  • Demonstrated experience managing high-volume B2B outreach across multiple domains and inboxes.
  • Hands-on experience with Instantly, Smartlead, Lemlist, Mailshake or comparable cold-outreach platforms.
  • Strong understanding of email deliverability, inbox warm-up, domain reputation, sender rotation and spam prevention.
  • Practical knowledge of SPF, DKIM, DMARC and email-domain configuration.
  • Experience creating cold-email copy and multi-step outreach sequences.
  • Experience with lead segmentation, list hygiene, email verification and suppression management.
  • Ability to interpret campaign data and convert it into specific operational actions.
  • Strong written English and the ability to write concise, natural and professional B2B emails.
  • Ability to independently manage complex campaign operations without continuous supervision.

Preferred Qualifications

  • Experience managing at least 40 email inboxes or more than 2,000 campaign emails per week.
  • Experience running outbound campaigns targeting companies and decision-makers in the United States.
  • Familiarity with Apollo, Clay, LinkedIn Sales Navigator, Hunter, MillionVerifier or similar prospecting and verification tools.
  • Experience integrating outreach platforms with CRMs and automation tools.
  • Familiarity with agency services, SaaS, SEO, GEO, AI visibility or digital marketing.
  • Experience managing campaigns for multiple brands, services or audience segments simultaneously.
  • Experience using APIs, webhooks, Zapier, Make or similar tools to automate campaign workflows and reporting.

Performance Indicators

Success in this role will be evaluated based on:

  • Sustainable achievement of weekly campaign-volume targets.
  • Percentage of healthy and actively usable sending inboxes.
  • Deliverability stability and infrastructure reliability.
  • Quality and consistency of new lead supply.
  • Positive-reply and qualified-meeting generation.
  • Improvement in campaign performance through systematic testing.
  • Speed and accuracy of reply routing and sales handoff.
  • Quality of reporting, documentation and operating processes.

Raw email volume alone will not be treated as success. Campaigns must generate relevant conversations while protecting the long-term health of the sending infrastructure.

What We Are Looking For

We are looking for someone who combines technical deliverability knowledge with commercial judgment.

The right candidate will not simply upload lists and activate campaigns. They will proactively identify infrastructure risks, question weak targeting, improve messaging, design experiments and take ownership of the complete cold-email operating system.

You should be comfortable making recommendations, explaining your reasoning through data and being accountable for both campaign volume and campaign quality.

Candidates without direct, hands-on cold-email and deliverability experience may not be considered.
