1. SummaryWe are seeking a proactive, organized, and people-centric professional to join Chhanv Foundation as a Human Resource Associate Manager. The ideal candidate will play a pivotal role in managing the organization's human resource functions while ensuring seamless coordination between employees, acid attack survivors, departments, stakeholders, partner organizations, vendors, and external agencies.
This position extends beyond conventional Human Resources and requires an individual who can effectively manage recruitment, employee engagement, administration, stakeholder communication, event coordination, travel logistics, office administration, and organizational operations. The Human Resource Associate Manager will serve as a key coordination point for internal teams and external stakeholders, ensuring smooth execution of organizational programmes, campaigns, workshops, awareness events, training sessions, and institutional partnerships.
The candidate should possess excellent interpersonal and organizational skills, maintain the highest level of confidentiality, demonstrate empathy while working with acid attack survivors, and contribute towards strengthening organizational culture, operational excellence, and employee experience.
2. Line of ReportingThe Human Resource Associate Manager reports directly to the Board of Directors of the organization.
3. ResponsibilitiesThe role will include the following core responsibilities:
Human Resource Management- Manage the complete employee lifecycle, including recruitment, onboarding, induction, confirmation, performance management, employee engagement, promotions, transfers, and exit formalities.
- Coordinate the recruitment process by screening applications, scheduling interviews, communicating with candidates, maintaining recruitment records, and supporting hiring managers throughout the selection process.
- Prepare and maintain HR documentation, including offer letters, appointment letters, employment contracts, confirmation letters, increment letters, experience letters, warning letters, policies, and other employment-related documents.
- Maintain employee records, attendance, leave management, personnel files, and HR databases while ensuring confidentiality and compliance.
- Coordinate orientation programmes and facilitate smooth onboarding of employees, interns, consultants, fellows, volunteers, and programme staff.
- Support implementation and communication of HR policies, organizational procedures, Code of Conduct, disciplinary processes, and employee welfare initiatives.
- Coordinate performance appraisal processes, employee development plans, training schedules, and internal capacity-building programmes.
- Prepare HR reports, employee MIS, attendance summaries, and other organizational reports as required by senior management.

Event & Stakeholder Communication Management- Manage end-to-end communication for organizational events, workshops, campaigns, conferences, awareness programmes, meetings, media engagements, fundraising initiatives, institutional collaborations, and stakeholder visits.
- Maintain the organization's annual event calendar and coordinate scheduling with internal teams, partner organizations, educational institutions, corporates, donors, supporters, government agencies, and other stakeholders.
- Act as the primary point of contact for all event-related communication from planning through successful execution.
- Coordinate with stakeholders to finalize schedules, agendas, participant lists, logistical requirements, approvals, and communication timelines.
- Liaise with internal departments including Reachout, Rehabilitation, Sheroes Hangout Café, Welfare, Legal, Communications, Finance, and Administration to ensure smooth implementation of every activity.
- Coordinate continuously with acid attack survivors participating in workshops, campaigns, exhibitions, awareness programmes, training sessions, conferences, and public engagements to ensure timely communication and participation.
- Monitor the progress of scheduled activities and proactively resolve coordination challenges before and during programme execution.
- Prepare event briefs, attendance records, schedules, minutes of meetings, post-event reports, and follow-up documentation.
- Share regular updates and status reports with senior management regarding ongoing and upcoming organizational activities.
Travel, Logistics & Office Administration- Manage end-to-end travel coordination for employees, acid attack survivors, consultants, trainers, senior management, guests, and volunteers participating in official programmes, meetings, workshops, campaigns, conferences, and organizational events.
- Coordinate with the organization's approved travel vendors for booking flight tickets, train tickets, bus tickets, accommodation, local transportation, and other travel-related requirements while ensuring cost optimization and timely confirmations.
- Prepare and communicate comprehensive travel itineraries containing travel schedules, booking confirmations, accommodation details, reporting instructions, emergency contacts, and relevant travel information to all concerned stakeholders.
- Liaise with travellers, vendors, internal departments, and senior management to ensure seamless travel arrangements and timely resolution of travel-related issues.
- Coordinate office administration and vendor management for procurement of stationery, office supplies, equipment, furniture, consumables, housekeeping requirements, and other operational necessities while ensuring quality, timely delivery, and cost efficiency.
- Maintain a structured inventory management system for all organizational assets and office resources from procurement until their complete lifecycle.
- Ensure proper documentation and secure filing of purchase records, invoices, warranty cards, warranty certificates, user manuals, Annual Maintenance Contracts (AMCs), and related asset documentation.
- Maintain accurate asset registers, inventory records, inward and outward movement registers, allocation records, maintenance history, repair logs, and disposal records for all organizational assets.
- Ensure proper tagging, identification, issuance, transfer, return, servicing, replacement, and disposal of organizational assets in accordance with organizational procedures.
- Coordinate allocation of laptops, mobile phones, office equipment, and other organizational assets to employees, interns, consultants, volunteers, or acid attack survivors through appropriate documentation and acknowledgement.
- Conduct periodic physical verification of assets and inventory to ensure accountability, proper utilization, timely maintenance, and record accuracy.
- Coordinate with vendors for repairs, warranty claims, preventive maintenance, Annual Maintenance Contracts (AMCs), and servicing of office equipment and infrastructure.
Administration & Organizational Coordination- Coordinate internal meetings, prepare meeting agendas, record minutes, monitor action points, and ensure timely follow-up.
- Support preparation of organizational reports, presentations, proposals, donor documentation, and internal communication materials.
- Coordinate with vendors, consultants, trainers, institutions, and service providers for administrative requirements.
- Ensure confidentiality of employee information, survivor information, donor information, organizational records, and sensitive documentation.
- Assist senior management in administrative planning, compliance, documentation, and organizational operations.
- Perform additional responsibilities assigned by the Board of Directors in alignment with organizational priorities.
4. RequirementsThe Human Resource Associate Manager should possess:
- Bachelor's or Master's Degree in Human Resource Management, Business Administration, Social Work, Psychology, Public Administration, or a related discipline.
- Minimum 3–5 years of relevant experience in Human Resources, Administration, Operations, Programme Coordination, or NGO management.
- Excellent verbal and written communication skills in English and Hindi.
- Strong interpersonal, coordination, negotiation, stakeholder management, and relationship-building skills.
- Excellent organizational, planning, multitasking, and problem-solving abilities.
- Experience in recruitment, employee engagement, HR documentation, event coordination, and administration.
- Proficiency in Microsoft Office, Google Workspace, spreadsheets, presentations, documentation, and online collaboration tools.
- Ability to work independently while managing multiple priorities in a fast-paced environment.
- High level of professionalism, integrity, confidentiality, empathy, and cultural sensitivity.
- Willingness to travel whenever organizational requirements arise.
5. Work LocationThe selected candidate will be based at Chhanv Foundation, D-45, Sector 48, Gautam Buddh Nagar, Uttar Pradesh, with travel as required for organizational programmes, meetings, workshops, awareness campaigns, and partner engagements.
6. PerksThe initial remuneration for this position will be between ₹40,000 and ₹50,000 per month, depending upon the candidate's qualifications, relevant experience, and suitability for the role. The final compensation package will be discussed during the selection process.
