We are looking for a proactive and detail-oriented Administrative Assistant to support our finance, HR operations, and office Administration functions in Singapore.

Key Responsibilities
- Assist with the preparation and issuance of invoices.
- Support tenant billing processes and ensure timely and accurate invoicing.
- Monitor payment status and assist with accounts receivable tracking and follow-ups.
- Assist with vendor invoice processing and payment administration.
- Assist with posting job advertisements on recruitment platforms and company channels.
- Coordinate interview scheduling and candidate communications.
- Support onboarding activities, including document collection and employee orientation logistics.
- Maintain employee records and HR documentation in an organised and confidential manner.
- Assist with leave, probation, and employee information tracking.
- Support HR initiatives, employee engagement activities, and internal communications.
- Coordinate training registrations and learning administration when required.
- Manage office supplies inventory and coordinate purchasing of stationery and office necessities.
- Liaise with building management, vendors, and service providers for office maintenance matters.
- Coordinate meeting room bookings and office facilities arrangements.
- Organize company events, team gatherings, celebrations, and employee engagement activities.
- Support travel, accommodation, and logistics arrangements when required.
- Maintain office filing systems and administrative records.
- Ensure the office environment remains organized, welcoming, and operationally efficient.
Requirements
Qualifications & Experience
- Diploma or Degree in Business Administration, Finance, Accounting, Human Resources, or related disciplines.
- 2-5 years of experience in an administrative, finance support, office administration, or HR coordination role.
- Fresh graduates with strong internship experience may also be considered.
Skills & Competencies
- Strong attention to detail and accuracy.

- Proficient in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
