Qualification

  • B.Com / M.Com / MBA (Finance) / CA Inter (Preferred)
  • Strong understanding of accounting principles and GST compliance.
  • Advanced proficiency in Microsoft Excel. Knowledge of ERP systems (SAP, Oracle, Microsoft Dynamics, Tally, or similar) is preferred.

Role Summary

The Accounts Payable Executive will be responsible for managing the end-to-end accounts payable process while supporting monthly financial closures and MIS reporting. The role requires strong analytical skills, attention to detail, and the ability to work with multiple stakeholders to ensure timely payments, accurate accounting, and meaningful management reporting.

Key Responsibilities

1. Accounts Payable Operations

  • Process vendor invoices accurately and within agreed timelines.
  • Verify invoices against purchase orders, contracts, and approvals.
  • Ensure proper accounting classification and cost centre allocation.
  • Manage vendor reconciliations and resolve discrepancies.
  • Process employee reimbursements and advances.
  • Prepare vendor payment proposals and coordinate payment execution.
  • Monitor vendor ageing and ensure timely settlement of liabilities.
  • Maintain complete documentation and audit trails for all transactions.

2. Month-End & Year-End Closure

  • Complete AP book closure within prescribed timelines.
  • Accrue expenses for unbilled liabilities.
  • Reverse provisions in subsequent periods where applicable.
  • Reconcile vendor balances and GRIR/Unbilled accounts.
  • Prepare schedules supporting statutory and internal audits.
  • Assist in quarterly and annual financial closing activities.

3. MIS & Reporting

  • Prepare weekly and monthly Accounts Payable MIS.
  • Prepare vendor ageing reports and payment forecasts.
  • Analyse payable trends and highlight overdue liabilities.
  • Support monthly finance MIS including:
  • Operating expenses
  • Department-wise expense analysis
  • Variance analysis
  • Budget vs Actual reporting
  • Cash flow inputs relating to vendor payments
  • Ensure accuracy and consistency of reports submitted to management.

4. Controls & Compliance

  • Ensure compliance with company policies and approval matrices.
  • Verify GST compliance before invoice booking.
  • Ensure TDS deductions wherever applicable.
  • Support statutory, internal, and tax audits by providing schedules and supporting documents.
  • Maintain proper documentation for audit readiness.

5. Process Improvement

  • Identify opportunities to improve AP processes.
  • Drive automation and standardisation in invoice processing.
  • Reduce processing cycle time and payment delays.
  • Maintain SOPs for AP and reporting activities.
  • Participate in ERP enhancements and process improvement initiatives.

Key Skills Required

  • Strong knowledge of Accounts Payable processes.
  • Good understanding of month-end financial closure.
  • Experience in MIS preparation and financial reporting.
  • Strong analytical and reconciliation skills.
  • Advanced Microsoft Excel (Pivot Tables, XLOOKUP, SUMIFS, INDEX-MATCH, Power Query preferred).
  • ERP experience (SAP, Oracle, Microsoft Dynamics, Tally, or equivalent).
  • Knowledge of GST, TDS, and accounting standards.
  • Excellent communication and stakeholder management skills.
  • High attention to detail and ability to meet strict deadlines.

  • Timely completion of AP processing.
  • Accuracy of invoice accounting.
  • Month-end closure completed within timelines.
  • Vendor reconciliation completion rate.
  • Vendor ageing and overdue payment management.
  • MIS submission accuracy and timeliness.
  • Audit observations related to AP.
  • Process improvement initiatives implemented.
  • Compliance with GST and TDS requirements.

Preferred Candidate Profile

  • 3–6 years of experience in Accounts Payable and Finance Operations.
  • Experience handling high-volume vendor transactions.
  • Exposure to monthly financial closure and MIS reporting.
  • Comfortable working in a fast-paced environment with strict reporting timelines.
  • Strong problem-solving ability with a process-oriented mindset.
  • Ability to coordinate effectively with Procurement, Business Teams, Treasury, and Auditors.
