About Role

We are looking for a detail-oriented and responsible Accounts Executive who will independently manage the day-to-day bookkeeping and accounting activities of our Canada-based company. The candidate should have hands-on experience with QuickBooks Online, Canadian bookkeeping practices, bank and credit-card reconciliations, financial reporting, and GST/HST-related accounting. Strong working knowledge of Google Sheets and a sound understanding of accounting principles are essential for this role.

Responsibilities

  • Independently maintain complete and accurate books of accounts in QuickBooks Online for the Canada-based entity.
  • Record and classify sales, purchases, expenses, receipts, payments, refunds, credit-card transactions, and other accounting entries.
  • Perform regular reconciliation of bank accounts, credit cards, payment gateways, and other financial accounts.
  • Review supporting documents and attach invoices, bills, receipts, and other relevant records to the respective transactions in QuickBooks Online.
  • Assist in the preparation and reconciliation of quarterly GST/HST returns and maintain proper supporting records for input tax credits.
  • Prepare monthly and quarterly financial reports, including the Profit and Loss Statement, Balance Sheet, General Ledger, Accounts Receivable, and Accounts Payable reports.
  • Support month-end, quarter-end, and year-end closing activities.
  • Identify accounting discrepancies, unreconciled transactions, duplicate entries, and missing documents, and ensure timely resolution.
  • Maintain accounting schedules, reconciliations, and management reports using Google Sheets.
  • Coordinate with internal teams to obtain invoices, transaction details, approvals, and other required financial information.
  • Coordinate with the company's Canadian CPA or external accountant for GST/HST filings, year-end accounts, tax-related requirements, and accounting clarifications.
  • Ensure that accounting records are complete, consistent, properly documented, and maintained within the required timelines.
  • Communicate professionally with internal stakeholders, vendors, customers, banks, and external accountants whenever required.

Qualifications

  • Practical experience in bookkeeping and accounting using QuickBooks Online.
  • Prior experience handling the books of a Canada-based or US-based company, with preference given to Canadian bookkeeping experience.
  • Sound understanding of basic accounting principles, journal entries, ledgers, accruals, prepayments, receivables, payables, and reconciliations.
  • Working knowledge of Canadian GST/HST accounting, input tax credits, and quarterly compliance requirements.
  • Strong proficiency in Google Sheets, including formulas, lookups, pivot tables, data validation, reconciliation workings, and financial reporting.
  • High attention to detail, accuracy, and proper documentation.
  • Ability to independently manage accounting activities and meet reporting and compliance deadlines.
  • Good written and verbal communication skills.
  • Ability to identify accounting issues and apply logical judgment before recording transactions.
  • Ability to manage multiple tasks and follow up with relevant stakeholders without continuous supervision.

Preferred Skills

  • CA Inter, CMA Inter, M.Com, or another relevant accounting qualification.
  • Experience working with a CA firm, accounting firm, or outsourced bookkeeping firm.
  • Prior exposure to Canadian accounting and GST/HST compliance.
  • Experience handling accounting for IT, digital marketing, consulting, or other service-based companies.
  • Familiarity with Stripe, Wise, Canadian banking transactions, foreign-currency accounting, and payment-gateway reconciliation will be an added advantage.
